We’ve all done it. Hit send a split second before noticing the typo, the wrong attachment, or the reply-all catastrophe in the making. Here’s how to give yourself a safety net whether you are using Gmail, Mac Mail or Outlook.

Undo send is one of those tiny settings that sounds too simple to bother with. Then one day it saves you from a very awkward conversation. Set it up now, before you need it.

Gmail

Gmail has had undo send for years and it’s genuinely excellent. It works by delaying your email slightly before it goes and giving you a window to change your mind.

  1. Open Gmail and click the cog icon (top right), then See all settings
  2. You’re on the General tab by default just scroll down to Undo Send
  3. Set your cancellation period: 5, 10, 20, or 30 seconds
  4. Scroll to the bottom and click Save Changes

After sending an email, a bar appears at the bottom of the screen with an Undo button. Click it within your chosen window and the email comes straight back as a draft.

My recommendation 30 seconds. Always 30 seconds. You won’t notice the delay and you’ll be glad of the window.

Mac Mail

Apple added proper undo send in macOS Ventura (2022) and it’s lovely — clean and built right in.

  1. Open the Mail app and go to MailSettings
  2. Click the Composing tab
  3. Find “Undo Send Delay” and set it to 10, 20, or 30 seconds

That’s it. After you hit send, an Undo Send button appears at the bottom of your sidebar. Click it and your email bounces back.

On iPhone and iPad too Same feature, same setting — go to Settings → Mail → Undo Send Delay. After sending, shake the phone or tap the Undo Send bar that appears at the bottom of the screen.

Note: This feature requires macOS Ventura or later. If you’re on an older Mac, you won’t see the option. Is this a sign to get a new computer?!

Outlook

Outlook doesn’t have a true undo send like Gmail or Mac Mail — but you can get the same effect by setting a send delay. Your emails sit in the Outbox for a minute or two before going, giving you time to catch mistakes.

  1. Go to FileOptionsMail
  2. Scroll down to “Send Messages”
  3. Tick “Defer delivery by X minutes” and set it to 1 or 2 minutes
  4. Click OK

Now every email will sit in your Outbox before sending. If you change your mind, open the Outbox, double-click the email, and either delete it or edit and resend.

What about Recall? Outlook does have a built-in recall feature (open the sent email → Actions → Recall This Message), but it only works reliably if the recipient is also on the same Microsoft Exchange server — usually within the same organisation. For most emails to external contacts, it won’t work. The delayed send trick above is far more reliable.

⚠️ One thing to know The delay applies to every email, including urgent ones. If you ever need to send something immediately, you can go to the Outbox and manually send it from there.

The quick summary

Gmail: Settings → General → Undo Send → set to 30 seconds → Save

Mac Mail: Mail → Settings → Composing → Undo Send Delay → 30 seconds

Outlook: File → Options → Mail → Defer delivery by 1–2 minutes
